Donor Privacy PolicY

Deep End Ministries Financial Privacy Policy

It is the desire of Deep End Ministries to protect donor confidentiality and accounting information in all circumstances. For that reason, the following policies have been established and strict adherence to the policy is required on the part of all ministry personnel who have access to financial information.

Donor and Contribution Information

If a donor requests his gift to be anonymous, the gift will be indicated anonymous and any reports run where this gift may appear will not include the donor’s identifying information.

Deep End Ministries staff members will be given access to donor and contribution information only as required in the performance of their responsibilities. In addition to the financial services department staff, donor information is available to assigned staff members of the development and marketing department as approved by the Executive Team.

All donor and contribution information will be kept electronically in either our password, access-protected donor software or accounting software. Any donor or contribution information in paper form is maintained in locked file cabinets in the Financial Services office. Paper donations or contribution information that is no longer needed will be shredded.

All reports related to donor and missionary accounts will be provided monthly to the Executive Team. The reports will be used to monitor missionary account balances in order to determine whether to involve others with this information.

It is also the policy of Deep End Ministries to never disclose, rent, or sell our donor list or any donor information to any individual or organization outside of the ministry, except to our Auditors.

Donor Refund Policy

Deep End Ministries adheres to ECFA Standard 7.2 that states: “Occasionally, givers request a refund of a charitable gift they made previously. Since contributions must be irrevocable to qualify for a charitable deduction, there generally is no basis to return a charitable gift to a donor.” However, on rare occasions a donor may be refunded if a gift was made in error, and it was clearly not the intent of the donor to initiate the charitable donation in the first place. This will be reviewed by the Financial Services Department on a case by case basis.
